Bulk Order Acceptance Checklist

In short

Acceptance is cheapest to define before production and most expensive to argue after delivery. This checklist covers what to agree up front — sampling method, test method, pass/fail criteria and what happens to a failing unit — and what to re-check on arrival. A sample passing does not mean every batch passes automatically; the batch is what you pay for. None of the sampling numbers here are a universal standard: agree the approach with your supplier based on product risk and your contract, and write it down.

Why define acceptance before you order

A passing sample proves the sample. It does not prove the run. The batch you receive is the thing you accept, so the criteria should be fixed in the purchase specification, not discovered on arrival.

Sampling proportion, AQL level and test method are choices, not fixed laws. They depend on product risk, order value and what you can practically test. Agree them in writing and keep them consistent between orders.

What a batch acceptance plan should fix

ItemWhy it must be written
Sampling method and sizeOtherwise 'we tested some' means different things to each side
Test methodCapacity write-and-read-back and sustained write test different things
Pass / fail criteriaA number with no threshold is not a criterion
Non-conforming handlingRework, replacement or rejection must be agreed upfront
Retained sampleA tested unit kept for comparison if a dispute arises

Capacity verification

A full write-and-read-back proves the card holds what it claims. It does not prove speed or endurance.

Frequently asked questions

Is there a standard sampling percentage I must use?

No single percentage applies to every product. Sampling size and AQL are agreed between buyer and supplier based on risk and contract. The important thing is that the method is written down and repeated order to order, not that it matches a number from the internet.

If my sample passed, is the batch guaranteed?

No. A sample proves the sample. The batch is what you accept, which is why the test method, sampling and pass/fail criteria should be agreed before production and re-checked on arrival.

What does a capacity test actually prove?

That the card holds the capacity it claims, with no inflated or fake labelling. It does not by itself prove speed, endurance or real-device behaviour — those need separate tests.
